Accounts Payable / Office AssistantTroy, NY 1218011/18/2019Apply on-line NowPosition DescriptionEducation, Experience, and Licensing Requirements:*Associates degree in accounting, finance, or related field*Previous accounts payable experience preferredSummary:Provides support to Accounts Payable and other Accounting functions. Responsible for data entry for accounting department, answering the phones for the administrative office and for general office assistance as assigned. Provides support, secretarial and clerical functions for the agency administrative office.Desired Qualifications / Skills:Attention to detailThoroughnessOrganizationAnalyzing informationAccountingVendor relationshipsPC proficiencyData entry skillsGeneral math skillsResponsibilities:*Assists in Accounts Payable:Enters accounts payable into system, assigning proper account and sub account numbers and reconciling to batch reports.Maintains the utility account numbers for all sites.Tracks receipts for Price Chopper, Hannaford, Walmart.Answers and screens telephone calls, gives information to callers and routes calls to appropriate person. Takes messages and assures that there is phone coverage during office hours.Responsible for keeping confidential all data handled.Performs necessary backup to office staff as required.Filing of accounts payable.Assists in sorting incoming mail.Back up of Accounts Payable check processing.*Provides general administrative and clerical support including mailing, scanning, faxing and copying for the Agency Administrative Office.*Assesses office needs and organizes agency administrative office operations and procedures in the areas of typing, flow of correspondence, filing, requisition of office supplies, reception, answering phones and other business related services.*Prepares, modifies, and maintains (files) documents including correspondence, reports, drafts, memos and emails.*Maintains electronic and hard copy filing system*Performs data entry and scan documents*Assists in resolving any administrative problems*Perform Cash Deposit on regular basis.*Assists Director of Finance in entering data in various reports. Assists with other reports/projects as needed.*Takes dictation by machine and transcribes to typed copy for the Administrative Team.*Provides administrative supports for various activities and reports to the Executive Director, Administrative Team and/or Board of Directors.EOEType:Full-time
