Albany Pro Musica is seeking an individual to help build the operational capacity of a rapidly growing choral arts organization. Now in its 39th season, Albany Pro Musica provides quality choral music performances and music education programs to the Capital Region and beyond. Under the artistic direction of Opalka Family Artistic Director Jos-- - Daniel Flores-Caraballo, Albany Pro Musica has performed with such nationally recognized ensembles as The Philadelphia -Orchestra, Canadian Brass. Vienna Boys Choir, New York City Ballet, and Albany Symphony Orchestra, solidifying APM's role as the preeminent chorus in the Capital Region.THE POSITION: -Full-time position at a competitive rate per annum with benefits. - -The Administrative Assistant -position reports to the General Manager and works closely with APM senior staff. Primary responsibilities include, but are not limited to: - -OPERATIONSMaintain calendars, coordinate meetings, communicate schedules, make travel arrangements, update contact lists, and perform photocopying/scanningManage general phone and email communicationsOrganize and maintain filing system in office and on shared driveAttend and support APM rehearsals, performances, and events as neededProcess orders for office supplies and event catering as neededUpdate choral rosters and chorus handbook as neededMonitor administrative timelines and deadlinesProcess/receive music purchase orders, and assist Music Librarian as neededReview press releases and program copy as neededDEVELOPMENTEnter donations, pledges, and new donor records into database; update records as neededExport lists upon request for acknowledgment letters, appeal letters, reports, programs, etc.Complete mail merges; print and send fundraising communicationsResearch donor contact information and pull background dataCoordinate logistics for meetings (e.g. track RSVPs, reserve rooms)Support playbill advertisement sales as needed -ESSENTIAL SKILLS:Strong computer skills are a must. Incumbent must be familiar with Microsoft Office Suite and Google applications, with an ability to -learn -APM-specific softwareStrong organizational, project management, and problem-solving skills with impeccable multitasking abilities -Demonstrated excellent verbal and written communication skillsWell-organized, motivated, and professional -Ability to work independentlyAbility to manage and prioritize work load -Ability to work with various levels of internal management, staff, and volunteers, as well as with outside artists, artists' agents, patrons, donors, and vendors -Exceptional interpersonal skills -Friendly and professional demeanor -EDUCATIONAL QUALIFICATIONS: -Bachelor's -degree preferredInterest in Arts Administration, Music, -or Business Management preferred -Music training/knowledge a plusOTHER REQUIREMENTS: -Experience working with an arts organization, nonprofit, or entrepreneurial institution preferredAbility to -lift up -to 20 pounds - -Driver's license -The Administrative Assistant's main office -is -at Troy Savings Bank Music -Hall. Regular work schedule is Monday-Friday, 9am-5pm, with some evening and weekend hours required as needed. This is a -full-time, -position.
